Admin & settings

Roles

RoleCan
AdminEverything, including organization settings, users, and QR minting.
ManagerRuns the inventory: full item/product/stock/QR lifecycle, service planning, loans, reservations, economy.
TechnicianThe floor role: view, scan, register, move, log service, adjust stock, check gear out and in.
ViewerSees everything, touches nothing.

Admins change roles inline on Admin → Users; the change applies from the member's next request, and the last active admin can never be demoted. Location-scoped grants exist for finer control — "stage crew can adjust stock under Main stage storage only".

Invites

There is no signup. Admin → Users sends invites: new people get a set-password email, existing leidang accounts get the workspace added behind their sign-in. Invitees arrive as viewer (or admin, if invited as owner) and are promoted from there.

Service & maintenance

The service log records repairs, inspections, modifications, and certifications per item — with cost, vendor, and attachments. Maintenance schedules automate the cadence: interval schedules ("annual electrical inspection") and meter schedules ("inspect every 750 lamp-hours") produce a due list, email reminders at lead time, and a Monday digest. Completing a due task is just logging the service entry — the schedule recomputes itself.

Economy

An informational layer, not bookkeeping: acquisition details (invoice and order refs, supplier, funding note, cost center) plus straight-line depreciation computed from purchase price, expected life, and residual value. The item's Economy tab and the org book-value report are visible only with the economy.view permission — and the fields are optional everywhere, dormant until a department enters data.

Org policies

  • Public-scan policy — what an unauthenticated scan shows (see Scanning).
  • Reservation conflicts — advisory or strict.
  • Email language — en/no for notification and invite emails.
  • Asset-tag prefix, timezone, currency.
  • Categories, tags, custom fields, meters, contacts, cost centers, kit templates.
Every admin mutation lands in the audit log (Admin → Audit log), and notification dispatch history is inspectable under Admin → Notifications.
